HACCP reporting

ChillSense produces HACCP-style PDF reports that auditors and food safety officers can read directly - per-asset, per-site, per-month. They are generated automatically at month's end and on-demand from the dashboard, with no formatting work for your team.

This is the feature most operators say pays for the subscription on its own. The hour or two a week your team currently spends writing temperatures on a paper log is replaced by a PDF that is already complete when you go to look for it.

What's in a monthly report

For each asset, for the reporting period (typically a calendar month):

  • Identification - site, area, asset name, sensor identifier, threshold range.
  • Summary readings - min, max, mean temperature; min, max, mean humidity where supported.
  • Breach events - every excursion outside the asset's safe range, with start time, duration, severity, and the corrective action recorded at the time.
  • Sensor health - any offline windows, battery warnings, or replaced sensors during the period.
  • Trend chart suitable for inclusion in your food safety records pack.

A site-level summary at the front of the report rolls up which assets stayed inside their range, which had minor excursions, and which had serious incidents. That is the page most auditors open first.

See HACCP reports in the Help Centre for the customer-facing walk-through.

How reports are generated

The report pipeline combines three sources:

  • Aggregated readings from the daily and hourly retention buckets (with raw-bucket fallback for short reporting windows).
  • Incident records and corrective actions captured at the time staff acknowledged each alert.
  • HACCP configuration (limits, severe thresholds, delay windows) so the report is consistent with what the alerting engine was watching for.

Reports are rendered to PDF inside our cloud, signed, and made available in your reports area. The same JSON snapshot is kept alongside the PDF for audit traceability, so a future regulator who wants to verify a number on a printed report can trace it back to the source data.

When you would generate a report

Scenario What to do
Monthly food safety record keeping Use the auto-generated monthly PDF; no action required.
Pre-audit pack assembly Use the dashboard to generate the previous 6-12 months in one go.
Incident-specific report Generate a per-asset report for the affected period and attach it to the corrective-action log.
Multi-site consolidated audit Generate per-site reports for the same month and submit as a single pack.

Built for Australian food safety expectations

ChillSense is designed around the cold-chain monitoring sections of the FSANZ Food Standards Code (in particular Standard 3.2.2A's record-keeping expectations) and the HACCP record-retention practices used by environmental health officers across Australian states. We do not certify your business; we give you the evidence layer that makes certification, recertification, and routine inspection routine instead of stressful.

The report format itself is structured so a busy auditor can answer their two main questions on the first page:

  1. Was every cold-chain asset within its safe range for the period?
  2. Where breaches occurred, was corrective action recorded promptly?

If both answers are yes, the rest of the report is supporting evidence. If either answer is no, the report shows you (and the auditor) exactly which asset, when, and what happened next.

What the reports do NOT do

ChillSense reports are an evidence layer; they do not replace your food safety plan. Specifically:

  • You still need a written food safety plan that documents your CCPs (critical control points) and the actions staff are expected to take.
  • You still need to keep manual records for things ChillSense does not measure (delivery temperatures of incoming stock, internal temperatures of cooked food, hand-wash compliance, and so on).
  • You still need to retain the reports for the period required by your local food safety authority; we make storage and retrieval easy but the retention obligation sits with you.

See the FAQ for the "can ChillSense replace my food safety plan?" question - the answer is no, and the reasons matter.

Pricing

HACCP reporting is included on every monitoring subscription - there is no separate "Reports" SKU and no per-report fee. Every active monthly or yearly monitoring line is entitled to:

  • Auto-generated monthly PDFs for every covered asset.
  • On-demand PDFs for any reporting period since the data was first captured.
  • JSON snapshots alongside each PDF for audit traceability.

See pricing for the subscription options.

Roadmap

The HACCP report itself is already complete in its current form, but a few adjacent items are in active development:

  • Editable report headers so a multi-tenant operator can put a venue name and ABN on each PDF without exporting and re-cover-sheeting.
  • Aggregated multi-site monthly packs (one PDF per group of sites, not one per site).
  • Per-state regulatory templates for jurisdictions that require a specific report layout.

If your regulator wants a specific format we do not yet support, contact us - those requests directly shape the template pipeline.
